How to move from Sellbrite, Vendoo or Crosslist
8:07 · Watch on YouTube
Move all your stock from Sellbrite, Vendoo, Crosslist or another tool into Artifactly, step by step: download your files from the old tool, bring them in with Bulk Import, and check how every column was matched before anything is saved.
Then link the pieces already live on eBay, Etsy, Shopify or WooCommerce by SKU, so nothing is listed twice, check everything, and only then switch the old tool off.
About this video: The screens are the real Artifactly app, recorded on a demo shop with made-up stock. The steps inside Sellbrite and Crosslist come from their own help pages and are shown on note cards. The voice is computer-generated.
Questions this video answers
How do I move my stock from Sellbrite to Artifactly?
There are five steps: download your files from the old tool, bring them in with Bulk Import, link the pieces that are already live, check everything, and only then switch the old tool off. In Sellbrite, go to Settings, then Export Data. Open Inventory Control, and press Bulk Import.
Can I import my Vendoo or Crosslist export?
It recognises the files made by Sellbrite, Vendoo, Crosslist, Linnworks, Nembol and Veeqo, and the downloads from eBay, Etsy, Shopify and WooCommerce. A Vendoo inventory export is recognised as well. Crosslist's help says: on the listing overview, click Export to CSV.
How do I switch cross-listing tools without listing anything twice?
After importing, you press Link live listings on each one. Importing the same file again skips anything already in, so nothing is doubled. Cancel your old tool only after you have seen a sale go through in Artifactly, and ask its support first whether your listings stay live.

0:00The five steps
This video moves all your stock from the tool you use now, such as Sellbrite, Vendoo or Crosslist, into Artifactly, without listing anything twice. There are five steps: download your files from the old tool, bring them in with Bulk Import, link the pieces that are already live, check everything, and only then switch the old tool off. Our example is a Sellbrite shop.
0:30Download your files from the old tool
Step one happens in your old tool, so it is on a note card. These steps come from Sellbrite's own help pages. In Sellbrite, go to Settings, then Export Data. In the Products row, choose All Data. When the file is ready, Sellbrite emails you a link to download it. Sellbrite keeps your stock counts in a second file. On the same page, choose Inventory, All Data. Do not change either file before you import it. Artifactly reads Sellbrite's layout just as it is, top rows and all. From another tool, use its own export or download option, to get a CSV or Excel file of all your stock. Crosslist's help says: on the listing overview, click Export to CSV. It is only on some Crosslist plans.
1:17Bulk Import: drop in the file
Step two, in Artifactly. Open Inventory Control, and press Bulk Import. Bulk Import takes a CSV or Excel file. It recognises the files made by Sellbrite, Vendoo, Crosslist, Linnworks, Nembol and Veeqo, and the downloads from eBay, Etsy, Shopify and WooCommerce. Any other spreadsheet works too: its columns are matched by their names. Click the box, or drag your products file onto it. We drop in a made-up Sellbrite file with six pieces. Nothing is imported in this video.
1:50What it recognised
The green box says what it found: Recognised, Sellbrite. Sellbrite puts two rows above its column names. Artifactly found the names on row three, and skipped the two rows above them. It reminds you that Sellbrite keeps quantities in a separate file, which we add in a moment. And it says all six pieces will come in as drafts, so nothing goes on sale. Keep this page open until the import finishes. After saving your pieces, Artifactly copies their photos into your own storage, so they stay safe after you cancel your old tool. The last line is for pieces already on sale on eBay, Etsy, Shopify or WooCommerce. After importing, you press Link live listings on each one. That is step three, later in this video.
2:37Column matching and photo columns
Which column holds what lists every box a piece can have, with the Sellbrite column matched to it. Name goes to Title, price to Price, and category name to Category. Artifactly reads Sellbrite's sizes as inches, and the weight in the unit the file names, here pounds, and turns them into centimetres and kilograms for you. To change a match, choose another column from its list, or choose Not in this file. One column fills only one box. Photo columns shows which columns hold photo links. Sellbrite's twelve product image columns are ticked, so every photo comes across. Press any column to tick it or untick it.
3:25Stock files
Next, Stock files. For a Sellbrite file, the note here says where to find the stock file in Sellbrite. Press Add stock file, and choose it. With more than one warehouse, add one file for each: quantities for the same SKU are added up. The stock file shows which of its columns holds the SKU, the quantity, the cost, the warehouse and the bin location, and you can change any of them. For the quantity it took Available, not On Hand, so stock already promised to an open order is not sold twice. Under it is a summary. All six pieces get a quantity from the stock file, and all six take their cost from it, because the products file had no cost.
4:07Preview and Import
Preview shows the first five pieces as they will come in: the row of the file, the SKU, the title, the price, how many photos, and the size in centimetres. When it all looks right, the Import button at the bottom saves them. Here it reads Import 6 Products. It saves your pieces first, then copies their photos, so keep the page open for both steps. Importing the same file again skips anything already in, so nothing is doubled. If any row cannot be imported, the window stays open and lists the reasons, with a button to download those rows, fix them, and import that file again. Here we close the window with the cross instead, so nothing is saved.
4:49Crosslist and Vendoo files
Moving from Crosslist works the same way. We open Bulk Import again, and drop in a made-up Crosslist file with five pieces. Recognised, Crosslist export. Crosslist's file holds photo file names, not web links, so it tells you to upload the photos separately, or bring the pieces in from the marketplace instead. That is why it says the five pieces have no photo. Its own columns are matched too. Cost of Goods becomes the cost, When made becomes the era, and the Crosslist Id is kept, so importing the same file again never doubles a piece. A Vendoo inventory export is recognised as well. Its Cost of Item column becomes the cost, and its Images column gives the photos. We close this window with the cross too.
5:43Link live listings
Step three. Your pieces came in as drafts, but many of them are already on sale. On Marketplace Integrations, connect each marketplace you sell on: eBay, Etsy, Shopify and WooCommerce. The demo shop has none connected, so here each card only offers Connect. Once a marketplace is connected, its card has a Link live listings button. It reads your live listings on that marketplace, and checks each one against your pieces by SKU. Nothing is saved while it checks. Then it shows how many pieces can be linked. In red is anything it will not touch: a piece marked sold in Artifactly that is still live, which you should end, and one SKU on two live listings, which is a duplicate. It also lists live listings with no matching piece, and listings with no SKU. Download the full list, fix what it shows, and check again. Press Link to save the links. Linked pieces become active, so a sale on one marketplace ends your other listings. Nothing is published, and titles, prices, descriptions and photos are not changed. Do this on each connected marketplace.
6:53Photos
About your photos. The import copies them into your own storage while the page is open. If that was cut short, open Relaunch Listings here in Inventory Control, and press Copy photos to our storage to finish.
7:07Check everything
Step four, check everything. On the Command Room, Catalog Checkup lists pieces with a missing title, price, photos or sizes, and any SKU used twice. Then open a few pieces, and compare them with your live listings.
7:22Switch the old tool off
Step five, only when you have checked. Sellbrite's help says: go to Settings, then Sales Channel Integrations, press the gear icon next to each channel, and turn Inventory Sync off. Then Sellbrite stops sending its stock counts to your marketplaces. Do not end your listings in Sellbrite: ending takes them off the marketplace. Deleting removes them from Sellbrite only. Cancel your old tool only after you have seen a sale go through in Artifactly, and ask its support first whether your listings stay live. That is your stock moved across. The next video is the Marketplaces page: Google, your master sheet, and sending many pieces at once.
