Questions this video answers
How do I keep a list of what my customers are looking for?
Wishlist keeps a note of what your customers are looking for. Fill in the customer's name and email, what type of customer they are, what they are looking for, their budget, how urgent it is, and any notes. Save keeps the request.
Can Artifactly match my stock to customer requests?
Find matches for my customers checks the pieces you have for sale against your wishlist requests, and against notes on customers who have an email address. Each match becomes a draft email under Outreach Drafts. It matches words, it does not use AI.
Which email accounts can I connect?
The box explains that any email account works, including Gmail, Yahoo and iCloud, connected securely with an app password. Every account connects with an app password: a code you make in your email account, just for Artifactly.

0:00Communications overview
This video shows Communications. It brings together your email, your contacts, what your customers are looking for, and your calendar. Show Guide opens the help for this page, right on the page. At the top of the left column are five tabs, in two rows: Inbox, Contacts and Wishlist, then Cal for calendar, and Lab. We start in the Inbox.
0:30Inbox and Smart Filter
Smart Filter switches between All Mail and Priority Only. Priority Only keeps emails from marketplaces and couriers, and any you have starred. This demo shop has no email connected, so the inbox shows no messages, and it says so plainly. Artifactly never fills it with example emails. The box explains that any email account works, including Gmail, Yahoo and iCloud, connected securely with an app password.
1:03Connect Gmail, Yahoo or iCloud
To connect your email, press Connect your email. The Connect your email window opens. Every account connects with an app password: a code you make in your email account, just for Artifactly. It is not your normal password. Gmail is first. Press it, and the window says what to do: turn on 2-Step Verification for your Google Account, create an app password, then paste it in. The link, Create a Gmail app password, opens Google's own page for it. Then type your email address, and paste the app password. Account Label is optional, such as Business or Personal. Gmail's own servers are filled in for you, so there is nothing else to type. The Connect your email button checks that Artifactly can both read and send with those details, and only keeps them when the check works. We are not connecting anything here, so we press Back. Below Gmail are Yahoo Mail and iCloud Mail, which work the same way, each with its own help line, and Another email account, for any other provider, where you also type its incoming and outgoing servers. The cross closes the window.
2:17Reading and replying
Once an account is connected, it shows as a small badge at the top of the list, with Add for another account and Refresh to read your email again. Click a message in the list, and it opens here, in the middle. Above the message, Archive files it away in your email account, and Delete moves it to the Trash, after asking you first. Under the message is a box to type your reply. AI Draft, on the Showroom plan, writes a reply for you, from the email and the pieces you have for sale. Always read it and change it before you send. Send sends your reply from your own email account. The screen only says it was sent when it really went.
3:02Contacts
Now Contacts. It has two lists. Partners are the people you work with, such as couriers and other dealers. Customers fills itself from the people who email you, once your email is connected. The pink plus button opens Add Contact: a name, the type, such as courier, dealer, VIP client or partner, then email, phone and notes. Save to Database keeps it. We close it with the cross instead.
3:33Customer wishlist
Wishlist keeps a note of what your customers are looking for. Press Add Customer Request. Fill in the customer's name and email, what type of customer they are, what they are looking for, their budget, how urgent it is, and any notes. The name and Looking For are needed. Save keeps the request. We press Cancel.
3:56Month planner
Cal is a simple month planner, kept in Artifactly. The arrows change the month. Click a day, then Add Event, to plan a collection, a delivery, a buying trip, a follow up or anything else. Give it a title, choose the type, and add a note if you like. Save keeps it. Events here stay in Artifactly. They do not go into your Google Calendar. We press Cancel.
4:26Match stock to customers
Lab matches your stock to your customers. Find matches for my customers checks the pieces you have for sale against your wishlist requests, and against notes on customers who have an email address. It matches words, it does not use AI. Each match becomes a draft email under Outreach Drafts. Nothing is sent by itself. Open a draft, change the words if you want, and press Approve and Send. It asks you first, then sends it from your own email. We have not pressed it here, because it makes drafts.
5:02Delivery Calendar
On the right is the Delivery Calendar. It shows your Google Calendar a week at a time, with courier bookings coloured by courier: Proovia, AnyVan, Shiply, and Manual for the rest. The arrows change the week, and Today comes back to this one. The demo shop has Google connected, so here is this week. Without Google, this box asks you to go to Marketplace Integrations and press Connect Google. Once it is connected, press Add, or click a day, to add an entry: a title, the date, start and end times, a place and notes. Create saves it in your Google Calendar. We press Cancel. That is Communications. The next video shows the paperwork for a piece: staff notes, invoices, customs forms and labels.
