Track sold items to send and stop selling twice
4:59 · Watch on YouTube
Artifactly lists every piece sold online in the last 30 days until someone ticks it as Sent, and shows whether your sale email was sent.
Below it, Needs your attention shows only what you must decide: a piece still for sale after it sold, one piece listed twice, price differences and failed listings.
About this video: The screens are the real Artifactly app, recorded on a demo shop with made-up stock. The voice is computer-generated.
Questions this video answers
How do I make sure no sold order is missed?
Sold, needs sending lists every piece sold in the last 30 days that nobody has ticked as sent. When the courier is booked, or the piece has gone, press Sent. A piece stays on this list until someone ticks it.
How do I stop one antique selling twice on eBay and Etsy?
The piece is sold, but a marketplace, or Google Shopping, still shows it for sale, so someone could buy it a second time. End the listing on that marketplace. If it is one piece, end the extra listing and join the items.
What does Needs your attention mean in Artifactly?
Needs your attention appears here, under Sold, needs sending, only when there is something only you can decide. It shows a count of things, how long ago it checked, and a coloured edge. This note lists the ten kinds of problem it can show.

0:00What needs you today
This video covers the top of the Command Room: the two lists that show what needs you today. The first is Sold, needs sending. The second, Needs your attention, appears just below it whenever something is wrong.
0:17Sold, needs sending
Sold, needs sending lists every piece sold in the last 30 days that nobody has ticked as sent. The number in brackets is how many are waiting. Sales made in person are not on it, because there is nothing to send. Each row shows the photo and the title, where it sold, the day it sold and the price, and the order number when the marketplace gave one. Where it is comes from your Places, so you know exactly where to fetch it from.
0:45Sale email sent or not sent
When Artifactly has sent you a sale email, a green line under the row says Sale email sent. If the email could not be sent, a red line says Sale email NOT sent, and why, so a failed email is never hidden. The email goes to the Contact Email in your Business Profile.
1:04Ticking a piece as Sent
Press the title of a piece to open it in Inventory Control. When the courier is booked, or the piece has gone, press Sent. The piece leaves the list, and Artifactly records who ticked it. Nothing changes on any marketplace when you press it. We will not press it here. A piece stays on this list until someone ticks it. When nothing is waiting, the whole list disappears.
1:32Needs your attention
Needs your attention appears here, under Sold, needs sending, only when there is something only you can decide. It shows a count of things, how long ago it checked, and a coloured edge. The demo shop has nothing wrong, so it is not showing. This note lists the ten kinds of problem it can show.
1:56Taken down or still showing for sale
Listings taken down by a marketplace. The marketplace removed these itself, under its own rules, not you. Read the reason, then take the piece off your other shops, or list it somewhere that allows it. Sold items still showing as available. The piece is sold, but a marketplace, or Google Shopping, still shows it for sale, so someone could buy it a second time. End the listing on that marketplace.
2:25Listed twice or unknown listings
Items that look like one piece on sale twice. Check each pair. If it is one piece, end the extra listing and join the items. If they are two different pieces, give them different titles. Live eBay or Etsy listings Artifactly does not know about, found by the daily check. If it is the same piece as one you have, end the extra listing. If it is a different piece, add it to Artifactly as its own item.
2:56eBay contact details and price differences
eBay listings eBay may hide. eBay does not allow emails, phone numbers, web links or contact us lines in a listing. Artifactly leaves them out of what it sends, so press SYNC on the item and the text goes again without them. Prices that differ. eBay, Etsy or Shopify shows a different price from Artifactly. If Artifactly is right, press SYNC on the item. If the marketplace is right, change the price in Artifactly.
3:26No connection, price or photos
Items selected for a marketplace that is not connected. Nothing can be sent there until it is. This group has its own button, Go to Integrations, so you can connect it, then press SYNC on the item. Items on sale with no price. Open the item and set a price, because most marketplaces refuse a listing without one. Listings that failed and said why. Each one names what went wrong. Fix the item, then press SYNC again. And items on sale with no photographs. Add photos before you list them.
3:59Opening a group and the colour edge
Press the heading of a group to open it. Each item shows its SKU, which opens it in Inventory Control, then its title and what is wrong. Where a marketplace listing is involved, Open on eBay or Open on Etsy takes you straight to it. Show these items in Inventory opens the whole group at once. One item can count more than once, once for each marketplace with a problem. The coloured edge shows the most serious problem in the panel: red when a piece could sell twice or was taken down, amber for things to fix soon, and grey for the rest. When nothing is left, the panel disappears. That is what needs you. The next video covers your Business Profile: the details Artifactly uses on your listings, invoices and emails.
